Overview of Sarnia Ultimate Club Organization

  1. Board of Directors The Board of Directors consists of Officers and Coordinators. Each role is entitled to one vote when decisions regarding club organization must be made.

    Officers (elected by all league members):
    • President
    • Vice-President
    • Treasurer
    • Secretary

    Coordinators (appointed by Officers):
    • Summer League Coordinator
    • Women’s League Coordinator
    • Competitive (“Open”) League Coordinator
    • Travel Team Coordinator
    • New Player Development Coordinator
    • New Player Recruitment Coordinator
    • Tournament Coordinator
    • Junior Ultimate Coordinator
    • Others (as deemed applicable)

  2. Summer (or other) League Organization: Each Team will be represented by a captain (or designate) at Captain’s meetings League decisions will be made at Captains Meetings. Each team captain will have one vote when making decisions at these meetings.

  3. Responsibilities of Officer Positions:

    President
    • Oversees and enforces all club policies
    • Runs captains meetings
    • Organizes and coordinates club committees as needed
    • Coordinates club expansion
    • Note: President cannot be a team captain

    Vice-President
    • Assists the President in his/her duties
    • Represents the President in his/her absence
    • Note: Vice-President cannot be a team captain

    Treasurer:
    • Controls cash receipts and disbursements
    • Prepares financial statements
    • Coordinates the raising of funds

    Secretary
    • Records and maintains the minutes of Captains Meetings and Board of Directors meetings
    • Maintains a permanent record of Club policies
    • Coordinates the election process

The Election:
Anyone interested in nominating themselves or someone else (for President, Vice-President, Treasurer or Secretary) should send an to Chantal Desroches on or before March 12, 2006. All nomination receipts will be acknowledged via return email. Voting will take place at the General Meeting (March 27, 2006 in the upstairs room of Stokes Bay – meeting begins at 6:30pm.) Only registered Sarnia Ultimate members (read: everyone who paid league fees in 2005) will be entitled to vote.

The General Meeting: Monday March 27th, starting at 6:30pm. Location: Stokes Bay (upstairs) Elections for Club Officers will take place at the meeting Those interested in helping out the Club or League (as coordinators or coordinator’s helpers) are encouraged to attend Time will be set aside for feedback and discussions Agenda will be issued via email 2 weeks prior to the general meeting.
